LODGING POLICIES
Please read before arrival!
The Black Mountain Lodge and Playhouse is an exclusive property where every guest reservation is both important and special to us. If your travel plans change and you must cancel your reservation, please call us at least 3 (three) days prior to your arrival date to cancel your reservation.
In the unlikely event that you must cancel with less than three (3) days notice, shorten your stay or check out early, please understand that we must ask you to take responsibility for your entire reservation. If we can rebook your room(s), a full or partial refund will be made.
Rates/policies are subject to change and vary during high impact periods and special requests. A 30 day cancellation notice is required on whole house bookings and for some holidays and special events.
Check-in: 2:00 PM - 10:00 PM. If arriving outside of check-in times, please call to make arrangements.
Check-out: 10:00 AM.
Absolutely No Smoking inside; however designated outdoor smoking areas are available.
Check-in Procedures: Upon arrival, please check-in at 305 Pioneer Road, at the Playhouse, at or after 2PM. There are no deductions for late arrivals. Please register at the office where you will pay your balance on arrival, be given keys, and provided further direction to your accommodations. You are welcome to check with us the night before arrival to see if arriving any earlier on the arrival date is possible. If late arrival is desired, please call for information regarding late check-in and we will accommodate your travel times and needs.
Check-Out Procedures: Upon departure, guest are required to leave the property in the same general neat and orderly condition as when they arrived. By signing this agreement you agree to vacate the said premises upon the termination of this at the hour of 10 AM MST. Please comply with the following before checking out:
1. Dishes, pots, pans, silverware and utensils should be washed, dried, and put away.
2. Windows and doors closed and all lights and appliances turned off for safety and to conserve energy.
3. Keys may be turned in at the office where you checked in, or may be left in visible sight on the counter of the kitchen / kitchenette.
4. Place dirty towels, hand towels, and wash cloths in the bathtub.
5. Beds should be left unmake, but NOT stripped.
6. Remove all perishables and food items from the refrigerator.
Check-in / Check-out Times: Check-in is at 2 PM MST and check out is 10 AM MST. Housekeeping needs adequate time to prepare the property for the next guest. Guests not leaving by stated checkout time, unless given prior approval, will be charged a rate of $50.00 per hour. Although we do our very best, under certain circumstances (busy times of year), our cleaners may not have your rental unit cleaned by 2 PM. We ask for your understanding in this matter, while please resting assured we will have your unit available to you as quickly as possible. There will be no refunds due to rental unit not being ready for check-in at 2 PM. No refunds will be made for early departures or delayed arrivals. No refunds or schedule changes will be made due to inclement weather.
Payments: A 50% deposit is taken for reservation made during peak holiday seasons (please see “Holidays” below). Deposit can be made using Visa, MasterCard, Discover, or American Express. Balance remaining for holiday season is to be paid by the 1st of the month for that holiday (i.e.: Dec 1st for Christmas / New Years, May 1st for Memorial Day, etc.). For non-holiday reservations, 20% deposit is required at time of booking. Total balance is due the first day of the month of your arrival. If you are booking in the same month of arrival, balance is due upon booking (example: booking on April 3rd for an April 24th arrival). For all reservations, a valid credit card and information will be required for every reservation and will be charged in the event there are damages to the property, furnishings or appliances. Checks: Payments must be received no later than 14 days prior to the stated arrival date if payment is by check. A $35.00 Service charge will be incurred for all returned checks.
Cancellations and Transfers: To cancel or change a confirmed reservation, we request you call us as soon as you know you will be unable to vacation in order to give us as much time as possible to re-rent the property.
¨ Cancellations made before the first of the month of arrival. Loss of deposit.
¨ Cancellations on or after the first of the month of arrival will result in loss of deposit. If we are able to re-rent the unit, 80% of the total will be refunded to the credit card on file.
If you wish to transfer rooms upon arrival, we will do our best to accommodate your requests, however there will be a $50 transfer fee. Should you spend one night in one unit and wish to change to another unit, there will be a $75 change to cover to the cost of prep of your new room and cleaning of your previous room.
Holidays / Peak Holiday Seasons: Make Black Mountain Lodge your holiday get-away! The following dates have a 3-night stay minimum requirement: Memorial Day, Forth of July, Thanksgiving, Christmas through New Years, and Spring Break.
Keys: In the event a key is lost, misplaced or otherwise not returned, the property must be re-keyed or new keys made. Guests will be responsible for all cost associated with keys that are lost or not returned. Keys lost or not returned will result in a charge of $15 per key, if re-keying is not required. If you make it home with one of our keys, postage is guaranteed. Simply drop it in any US Postal Service mail drop and we will take care of the rest, and not charge you.
Pet Friendly Policy: The Black Mountain Lodge is a pet friendly establishment. A signed Pet Agreement is required for those guests traveling with an animal companion. Guests are responsible for the behavior of their animals at all times. Failure to get prior approval of a pet and sign a Pet Agreement will result in termination of rental, immediate eviction, and forfeiture of all fees and monies paid. Your credit card will be charged any cleaning fees or damages plus a pet fee of $30 per pet.
Maintenance: On the day of check-in, please report any problems or damage to your room or unit. If not reported, we must assume the damage or loss occurred during your occupancy and any and all cost will be charge to you. If maintenance needs arise during your stay, please contact the office. No refunds will be issued for any equipment malfunction including, but not limited to TV or appliances, or due to power outages or other acts of God. Owners will not be held responsible for the failing of any other company service due to said company’s error or service interruption (electricity, cable, water, gas, etc..). However, we guarantee that we will do all that is humanly possible to remedy any issue in the shortest time possible.
Wildlife: The Black Mountain Lodge is located in the mountains of New Mexico. As such, you are likely to encounter wildlife (deer, elk, bears, snakes, and bugs of various types). Black Mountain Lodge, nor its owners Lane and Jessica Cross, will accept responsibility for any injury caused by said wildlife.
Loss of Personal Items: Guest acknowledges and understands that each guest is solely responsible for any loss by any person in the party while in residence including the loss of money, jewelry, or any other personal item. We will do our very best to return any found or forgotten items should they be found in the room or on the property, at the guests expense. We will do this in the most timely fashion possible.
Hot Tub: The use of the hot tub is at your own risk. It is advised that the hot tub is not to be used after consuming alcoholic beverages, or if someone is pregnant or has a pre-existing health condition. Minors (age 17 and under) are to be supervised at all times in and around the hot tub. They may not be left unattended in the hot tub. Please do not take glass containers into the hot tub or the hot tub room.
Smoking: Smoking is not allowed inside Black Mountain Lodge rooms at any time. Smoking in a room or unit will result in a $150 cleaning fee and any additional charges incurred by Black Mountain Lodge to remove the smell of smoke from the unit. Smoking is permitted outdoors on the balcony or decks. Please dispose of your butts appropriately without littering on our property.
No Firearms, No Fireworks: The occupancy and use of the premises shall not be such as to place the property in danger of damage or to disturb and / or offend area neighbors or residents. We reserve the right to terminate this agreement and request loud or unruly guests to vacate the premises immediately. Said discharge shall not result in the refund of any rental fees.
Fireplace: Several units have wood burning fireplaces. Firewood is provided. If you are not proficient at starting a fire, you may want to bring a small Duraflame type log. ABSOLUTELY NO LIQUID ACCELERATOR IS ALLOWED! This is a safety issue. Any evidence of accelerator use will result in an additional charge of $150. Please do not leave your fire unattended at any time. If you need a small brush and hand scoop to clean out your fireplace, please request one at the office in the Playhouse. All ash taken from the fireplace is to be placed in a plastic trash bag and disposed of in the outdoor trash receptacle.
Gas Grills: There are four propane gas grills on the central deck available for guest use. DO NOT PUT CHARCOAL in the GAS GRILL! And please remember to turn it off when finished grilling. Thanks!
Entry: The owner or his agent shall have the right to enter into the premises, or any part thereof, for the purpose of examining the same or making repairs or alterations deemed necessary.
Damages: It is expressly understood and agreed that owners of said premises will not be liable for any damages or injury to tenant or other occupants and their property from whatever cause arising from the occupancy of said premises. The guest(s) named on this Rental Agreement accepts responsibility for all members of its party and invitees while on the property and are responsible for any damage, abuse, excessive cleanup requirements, or loss caused by any member of the guest(s) party to the property or its contents during guest occupancy. Guests may be charged for any damage to the property caused by you or guests and invitees including but not limited to:
1. Damage to the lodge or its contents, beyond normal wear and tear
2. Damaged or lost linens, towels and household items
3. Unauthorized smoking indoors
4. Stolen property
Moving of any furniture or décor is not allowed. Please do not remove furniture, bedding, linens, towels, utensils, or any other property belonging to the owner from the premises for ANY reason. Please do not bring any inside furniture or chairs outside or on the porches, with the only exception being the metal folding chairs. If these are taken outside, please return them to where you originally found them. Loss of any of these items, as well as damage to any property furnishing in excess of normal wear and tear will be charged to you, the guest. As private owners, we thank you for taking care of our property while you stay in our extended home.
Guest Count: I have agreed to no more than the stated number of adults (age 17 and older) as stated on the website listed under each rental, in my unit or occupancy. Occupancy by more than the stated number of guests will result in the termination of the rental and the forfeiture of all rental fees and deposits. Limits on room occupancy does not include children ages 10 and under. Your comfort and safety are important to us.
Cleaning Services / Maid Services: In order to keep our rates affordable, we do not offer daily maid service. Your rooms are well cleaned prior to your arrival. Our hospitality room provides guests with clean towels for exchange of used ones. If you would like daily cleaning services, please let us know and we will be happy to arrange this amenity at an additional charge. We do want you to be as comfortable as possible and enjoy your stay with us.
Things to bring: Black Mountain Lodge provides its guests with coffee, filters, pots, pans, plates, cups, utensils, salt and pepper, and dishtowels and bed and bath linens. Additional items to bring with you to make your stay more personal might include:
1. Personal seasonings and condiments of your choice
2. Foil, zip lock bags, storage containers
3. Preferred personal bedding (we do provide all bedding but some people like their own pillow or blanket), extra pillows, box fan (some units have ceiling fans, some do not), there is no air conditioning in Red River…due to very mild temperatures we just simply don’t need it…
4. Bug spray, sunscreen for the summer months
5. A variety of clothing for temperatures (summer: 30’s to high 70’s; winter -20’s to 40’s)
Miscellaneous: This Rental Agreement is made pursuant to the laws of the State of New Mexico and shall be governed by New Mexico law. You agree that exclusive venue for any dispute arising between you and Black Mountain Lodge and Playhouse shall be in Red River, New Mexico or the closest town in which legal proceedings may occur. In the event any term or provision of the Rental Agreement is found to be unenforceable or void, in whole or in part, the term or provision concerned shall be construed as valid and enforceable to the maximum extend permitted by law, and the balance of the Rental Agreement shall remain in full force and effect.
I agree to the terms and conditions of this Rental Agreement. I hereby give permission to charge my credit card for all necessary costs incurred according to this agreement and that my credit card can be charged for any damages.
GIFT CERTIFICATE POLICIES
Gift certificates must be presented at check-in along with a valid driver's license. Gift certificates are transferable. Any remaining amount on gift certificates can be used at a later day up to the expiration date. Gift certificates cannot be redeemed for cash.
